Why don’t I see the signed document in HawkSoft yet?

If you do not see the signed document in HawkSoft yet, it is usually due to one of the reasons below. In most cases, the issue can be resolved quickly.

Most common reasons

1. The document has not been fully signed yet
This means the document is still out for signature and the client has not completed the signing process.

  • If the client has not opened the email or finished signing, the document will remain in WeSignature

  • The document will only be sent back to HawkSoft after all required signatures are completed

  • You can check the document status in WeSignature to confirm whether it is still pending or fully completed


2. The Client ID was entered incorrectly or was missing
The Client ID tells WeSignature exactly which HawkSoft client record the completed document should be returned to.

  • If the Client ID is missing or incorrect, HawkSoft will not know where to store the signed document

  • In this case, the document will remain in WeSignature but will not appear in HawkSoft


3. The Attachments section in HawkSoft has not been refreshed
Even after a document is signed, HawkSoft will not immediately display it.

  • Go to the client’s profile in HawkSoft

  • Open the Attachments section

  • Click the Refresh button (top right)

After refreshing, the signed document should appear.


Quick checklist

If you don’t see the document yet:

  • Confirm the document shows as Completed in WeSignature

  • Confirm the Client ID was entered correctly

  • Click Refresh in HawkSoft’s Attachments section
