How Can I Use the Template That I Built in WeSignature?
Templates in WeSignature are designed to make document signing more efficient, and there are multiple ways you can use them. Below are the different methods you can use to apply a template when sending a document for e-signature.
1. Using a Template Directly from the Dashboard
-
On the WeSignature dashboard, click on the "Choose Template" dropdown menu.
-
Select the template you want to use.
-
Click "Prepare Document."
-
Add your signers and send the document.
Important Note: When using a template this way, you cannot upload any additional documents. This method is designed for quickly sending a pre-mapped document without modifications.
2. Uploading Documents First, Then Applying a Template
This method allows you to upload documents first and apply a template over the top of them. However, upload order is critical because WeSignature applies templates in a top-down manner. Here's how it works:
-
Step 1: Upload the document to WeSignature that corresponds to the template first.
-
Step 2: Upload any additional documents afterward.
-
Step 3: Before clicking "Prepare Document," select the corresponding template from the dropdown menu on the right side of the dashboard.
-
Step 4: WeSignature will apply the mapped fields to the first document only. Any additional documents will require manual field placement.
Example:
-
You have Template A for Document A.
-
Upload Document A first, then upload any other documents.
-
Select Template A from the dropdown, and the fields will be applied to Document A only.
Multiple Document Templates: If you built a template that includes multiple documents (e.g., Template 1 includes Document A, B, and C in that order), you must upload those documents to WeSignature in that same order before applying the template (in this example, before applying Template 1).
3. Applying a Template While Editing the Document
If you've already uploaded a document and started preparing it for signing but realize you have a template for it, you can still apply the template. Here's how:
-
Step 1: On the document preparation screen (where you drag and drop fields), look for the blue "Template" button in the top left corner.
-
Step 2: Click "Template" and select the corresponding template you would like to apply.
-
Step 3: Click "Import Template Fields" to apply the pre-mapped fields.
Note: Just like in the previous method, the template fields will only apply to the first document uploaded. If the document that corresponds with the template you want to use is not uploaded first, this feature will not function properly.
4. Using a Template from the Template Library
-
Navigate to the "Templates" tab in WeSignature.
-
Scroll down to find your saved templates.
-
Locate the template you want to use and click the three-dot menu (...) on the right side.
-
Select "Use Template."
-
Add your signers and send the document.
Important Note: This method works just like the first option—you cannot add extra documents when using a template this way. It is designed for quickly sending a document with pre-mapped fields.
Final Thoughts
WeSignature templates are a powerful tool, but understanding how they apply to documents is crucial. The most common point of confusion is upload order, so always ensure that:
-
You upload the document that matches the template first.
-
If using a multi-document template, upload documents in the same order as they appear in the template.
By following these guidelines, you’ll be able to efficiently use templates and streamline your e-signature workflow!
